Xeft Pay by Link
Xeft Pay by Link allows shops to email customers a link to make payment for goods or services purchased from the shop. To use this feature, you must be using our Xeft integrated payment solution. Requirements
To use this feature, ensure the following:
- Xeft card payments are enabled.
- A customer is added to the sale.
- The customer has a valid email address.
How It Works
Setting up and managing payments via Pay by Link is straightforward.
- A new payment type called "Pay by Link" will be added to your payment options.
- When completing a sale, select this payment method. An email will be sent to the customer with a link to make the payment.
Tracking Payment Status
Once the sale is created, it will appear in the sales listing screen with one of the following statuses:
This icon means the sale is currently unpaid.
This icon means the customer has paid
You can use the Pay by Link filter button to quickly view unpaid, paid, or expired Pay by Link sales.
When the payment is received and you're ready to ship the goods, simply select the sale and click "Set to Shipped" to complete the transaction.
Editing a Pay by Link Sale
When the link has been sent the transaction is set to a layaway status, this means that the sale can be edited, products can be added, removed, the payment type can be changed, and the transaction can be cancelled.
In the sales listing screen select the transaction you want to edit and select Edit Layaway
Select a staff member
You can now add or remove products and then checkout again, if the value of the sale has changed and Pay by Link is selected the original link will expire and a new link will be sent.
Paying with a different payment type will cancel the original link that was sent to the customer and will allow a different payment type to be used to complete the sale.
Selecting cancel sale will allow you to completely cancel the sale, undo any changes you have made, or go back to the layaway sale.
Reporting
In addition to the usual End of Day and Cashing Up reports to help manage Pay by Link sales, go to:
Reports → End of Day → Xeft Pay By Link Status
This report allows you to filter and view both paid and outstanding (unpaid) Pay by Link transactions.
FAQs
Q: Can I change a sale after the link has been sent?
Yes. Since the sale is in a layaway state until payment is made, you can:
- Edit the sale (add/remove items)
- Cancel the sale
If you modify the basket and reselect the Pay by Link payment method, a new link will be sent, and the original one will be voided. Cancelling the sale also voids the link.
Q: When will the sale appear in my daily reports?
The sale will be included in your daily reports once the customer has completed the payments.
Q. Can i use more than one payment type when using Pay by Link?
No, the full sales value must be paid for using Pay by Link
Q. Help, the QR code doesn't show when I view the customer statement in Xpos!
That's fine, the QR code is only added when the statement is emailed to your customer.
